Policies & Procedures

At DingRun Acupuncture and Oriental Medicine, we understand that unexpected events occur in everyone's life - we get sick, have car problems, traffic considerations, business meetings, and project deadlines…. These are just a few reasons why one might have to consider canceling a service appointment.
In our commitment to provide a unique and outstanding experience to all of our clients and out of consideration for our therapists' time, we have adopted the following policies:

Policies for appointment and cancellation

ARRIVAL TO YOUR SESSION

Please arrive for your appointment(s) 10 minutes prior to the scheduled starting time. This allows you the time to fill out the appropriate client forms, change, and prepare for the service. All services offered have a specific time schedule and early arrival allows for a relaxed and unhurried experience. If late arrival is inevitable, your service(s) may be shortened in order to keep our therapists on schedule.  Every client is important to us and since our sessions are for the full allotted time, we want to be able to keep everyone on schedule which helps keep everyone’s lives a little more stress free. 

​CANCELLATION POLICY

A credit card will be required for all online scheduled appointments and for all first time appointments to guarantee and reserve that time for you. Your card will not be charged; however, you may use it to pay for services at the completion of your appointment. The total amount of the services scheduled will be charged in full for clients who "no-show" or fail to cancel their reservation within a 24-hour time period. Multiple services (of two or more), and packages require 48 hours cancellation notice. If you need to make a change to your reservation on the day of the service, such as moving the appointment time, a fee may be applied due to limited availability. 

​LATE ARRIVAL POLICY

To be fair and courteous to our other clients and staff, appointments will be automatically cancelled 15 minutes after the scheduled start time and charged according to our cancellation policy. We regret that late arrivals will not receive extension of scheduled appointments. Of course in special cases, if our schedule will allow, we may be able to accommodate a partial or full appointment. This will be at our discretion and only with proper, advanced notification of your late arrival.

DR.AOM Policy on Sexual Harassment and Sexual Assault

Ensuring a Safe and Respectful Environment for Clients and Employees

​Scope of Policy

This policy outlines the DR.AOM's commitment to preventing and addressing sexual harassment and sexual assault involving clients and employees. It applies to all staffs, clients, contractors, and visitors to the spa.

Prohibition of Sexual Misconduct

Sexual misconduct is strictly forbidden at our wellness spa. This includes, but is not limited to:

  • Sexually aggressive remarks

  • Unwanted advances or gestures

  • Any form of sexual harassment or sexual assault

Client Responsibilities

Clients are required to understand and adhere to the following:

  • Any illicit or sexually aggressive remarks, advances, or gestures towards employees will result in the immediate termination of the session.

  • Clients will be liable for the full payment of the scheduled appointment, regardless of the session’s early termination.

Employee Responsibilities

Employees are expected to:​

  • Maintain a professional demeanor at all times

  • Report any incidents of sexual harassment or assault immediately to management

  • Refuse any form of sexual misconduct from clients, co-workers, or other individuals

Forest

Reporting and Handling Incidents

All incidents of sexual harassment or assault are taken seriously and will be handled with the utmost care and confidentiality. The following steps will be taken:

  • ​Immediate reporting of the incident to management

  • Documentation of the incident

  • Investigation of the claims

  • Appropriate disciplinary action, which may include termination of employment or banning clients from the spa

MINORS

Children and youth are welcome to wait for their parents receiving services as long as they remain quiet, out of consideration for our clients.

In order for anyone under the age of 18 to receive services, a parent or guardian must sign our intake form, giving us permission to treat said minor with Massage Therapy or Traditional Chinese Medicine therapies, as selected by said parent or guardian.

A parent or designated adult is permitted to remain in the room with minor receiving services if so desired. 

SICKNESS POLICY

We recognize that both massage therapists and clients are vulnerable to infections; given that we ask clients to cancel appointments when they are feeling unwell, we will do the same for you.If you have any contagious illnesses the massage session will be rescheduled: cancellation fees will be waived due to sickness if appointment is rescheduled.

MINORS

OUR SERVICES

DR.AOM is dedicated to fostering a safe and respectful environment for all clients and employees. By adhering to this policy, we aim to prevent sexual harassment and assault, ensuring the wellbeing of everyone in our community.

NO-REFUND POLICY

We do not offer refunds on payments or deposits made to reserve the services, or any type of out-call services. All sales are final. No-Refund. But you can change your credit to different services we offer.The owner(s) reserve the right to make the final decision on any and all refunds issued under special circumstances. Typically, prepaid charges can be used for other services of your choice, or we can issue our DR.AOM store credit for later use.

All Gift cards or our VIP Packages valid for one year from the date you buy them.Pay attention to this part all the time. And we need everybody to make an appointment first . No walk-in at all please.
